How it works

What happens after a call goes unanswered

LeadPilot follows the same steps every time, and every send decision happens on the server.

How it works

From missed call to booked job, with guardrails

Each step runs on your server-side rules, not on guesses from a chatbot.

  1. Step 1

    A call goes unanswered

Your Twilio number or forwarded line reports the call state. LeadPilot only treats it as missed when the call events show nobody picked up.

  2. Step 2

    Eligibility is checked

Before any text goes out, the server checks consent records, opt-outs, quiet hours and your carrier registration. If SMS isn't allowed, your team is alerted instead.

  3. Step 3

    The assistant follows up

An AI assistant that says it's virtual asks what the customer needs, confirms the service and ZIP code, and answers from your own service list.

  4. Step 4

    A real slot gets booked

Open times come from your Google Calendar. A booking is confirmed only after the slot is rechecked and the event is created.

Setup takes one sitting

The onboarding wizard walks you through five stages.

  1. 1

    Add your business

Name, industry, time zone, services, service ZIP codes and opening hours.

  2. 2

    Connect your phone line

Use a Twilio number, or forward unanswered calls from your existing line to one.

  3. 3

    Set up messaging

Review consent rules, templates and quiet hours, and complete A2P 10DLC registration.

  4. 4

    Connect Google Calendar

Choose the calendar that bookings should go to and set appointment lengths.

  5. 5

    Test, then activate

Run the readiness checks. Automation turns on only when you explicitly enable it.

FAQ

Questions, answered

Does LeadPilot text every missed caller?

No. A missed call on its own isn't consent. LeadPilot sends an automated text only when your account has the required consent on record, the number isn't opted out, it's within your messaging hours, and your SMS registration is approved. Otherwise the lead is saved and your team is asked to follow up.

Will customers know they're talking to AI?

Yes. The assistant introduces itself as a virtual assistant, and your team can take over any conversation at any time. When staff take over, AI replies and scheduled follow-ups stop until someone turns them back on.

Can the AI quote prices or promise appointments?

It can only share prices you entered for a service, and it can only offer times that come from your connected calendar. A booking is confirmed only after the server rechecks the slot and creates the calendar event.

What phone setups are supported?

A Twilio number used as your business line, or your existing line set to forward unanswered calls to a Twilio number. If your carrier can't conditionally forward calls, LeadPilot can't see calls that never reach Twilio.

Do I need to register for SMS?

Texting customers from a US local number requires A2P 10DLC registration through Twilio. LeadPilot shows your registration status and keeps automated SMS off until it's approved.

Can I cancel anytime?

Yes. You can change or cancel your plan from the billing page. Cancellation takes effect at the end of the current billing period.

Stop letting missed calls decide which jobs you win

Set up your services, hours and phone line in one sitting. Automation stays off until you turn it on.
